Position Summary The Sales Operations Specialist plays a critical role in supporting the sales organization through effective management of order processing, dealer administration, reporting and analytics, compliance documentation, and cross-functional coordination. This position serves as a key liaison between Sales, Operations, Finance, Customer Service, and Dealer Partners to ensure efficient execution of sales processes, data accuracy, and exceptional dealer support. Based at Adventurer Manufacturing's headquarters, this is an on-site position that requires regular collaboration with internal departments to support daily business operations. The Sales Operations Specialist contributes to revenue growth by driving operational excellence, process improvements, and timely business reporting.   Reporting to: Sales Operations Manager   Key Responsibilities   Dealer Operations & Sales Support * Manage dealer order confirmations and related order-processing activities for Adventurer, Scout, Overlander, and other product lines, ensuring accuracy and timely communication during peak sales periods. * Support dealer onboarding activities, including new dealer setup, documentation, and account maintenance. * Serve as a primary point of contact for dealer inquiries, facilitating prompt resolution through collaboration with internal stakeholders. * Administer dealer incentive programs and assist with dealer engagement initiatives. Sales Administration & Process Management * Coordinate purchase order (PO) requests, validation, and tracking to support order fulfillment processes. * Maintain accurate sales records, contracts, customer files, and supporting documentation. * Manage dealer portal content, sales resources, pricing updates, and related sales assets. * Support change order administration and ensure accurate processing of order modifications. Reporting, Analytics & Continuous Improvement * Develop, maintain, and distribute recurring sales and on-order reports for sales leadership, sales representatives, and operational teams. * Monitor key sales and operational metrics, ensuring data integrity and reporting accuracy. * Identify opportunities to streamline workflows, automate reporting, and improve overall sales operations efficiency. * Support ad hoc reporting, analysis, and special projects as required. Financial & Order Fulfillment Coordination * Assist with unit invoicing processes and coordinate activities related to accounts receivable and dealer flooring programs. * Manage flooring approvals and support payment collection activities following shipment. * Partner with Finance and Operations teams to ensure timely and accurate order-to-cash processes. Compliance & Documentation Management * Coordinate and maintain regulatory reporting requirements, including RVIA monthly and annual reporting. * Manage federal export documentation and reporting requirements. * Process replacement and duplicate Manufacturer's Statements of Origin (MSOs) and related ownership documentation. * Prepare letters of manufacture, no-recall letters, and other documentation required for cross-border resale and registration activities. Customer Experience & Warranty Administration * Process warranty registrations and maintain accurate warranty records. * Support timely communication between dealers, customers, and internal teams regarding warranty and service-related matters. * Assist in resolving administrative issues that impact customer and dealer satisfaction. Team & Administrative Support * Coordinate travel arrangements and logistics for the Sales team as required. * Support departmental initiatives, projects, meetings, and process improvement activities. * Perform additional sales operations and administrative duties as assigned. Qualifications Required Skills & Experience * 3+ years of experience in sales operations, sales administration, customer service, dealer support, business operations, or a related role. * Strong analytical and problem-solving skills with excellent attention to detail and numerical accuracy. * Advanced proficiency in Microsoft Excel and experience working with CRM, ERP, and business reporting systems. * Excellent organizational and project coordination skills with the ability to manage multiple priorities and deadlines. * Strong communication and interpersonal skills, with the ability to build effective working relationships across departments and with external dealer partners. * Demonstrated ability to identify process improvements and contribute to operational efficiencies. * Ability to work effectively in an on-site, collaborative manufacturing environment. Preferred Qualifications * Experience supporting dealer networks within the RV, automotive, marine, powersports, manufacturing, or related industries. * Familiarity with order management, inventory processes, flooring programs, sales reporting, and performance metrics. * Experience working with regulatory compliance, export documentation, or cross-border business processes. Compensation * $24-$28 p/hr DOE
