Position Overview: Under the supervision of the Director of Development and Construction, the candidate will be responsible for carrying out administrative and clerical duties within the Construction Department. The candidate will also be responsible for developing a project filing system as well as reviewing and updating any technical documentation where applicable. Key Responsibilities: * Carrying out daily project office administrative tasks, in support of the project management teams * Reviewing and updating technical documents, such as manuals and workflows * Generating periodic reports on project * Managing the flow of documentation in the project office * Development of project file naming protocols with project team, in line with Client protocols * Uploading and maintaining data on the Ingenious software including entries of invoices and payments * Archiving files and ensuring all team members have access to the necessary documentation. * Audit preparation and support to verify that regulatory and quality requirements have been met * Following project plans and programming * Placing orders and raising purchase orders * Arranging third party access accounts for new and existing team members * Transmitting documentation and submittals through the company system to manage change * Management Process - Preparing, Managing & Issuing Change Alerts & Orders * Manage RFI’s including tracking, follow ups and dissemination within a timely manner * Training new users in the clients’ internal document control system * Assist with pre-construction activities as required * Assisting other departments with general administration as required * Record meeting minutes as required Experience and Qualifications: * At least 2 years’ experience in document control position, Knowledge of Ingenious software is an advantage * Experience with document management systems * Construction experience preferable * Ability to multitask * Dependable, reliable and enthusiastic individual * Ability to work as part of a team and also autonomously * Good communication skills as this is essential with operations teams; High standard of written English * Impeccable Organisational skills * Proficient in MS Office applications (Excel, Words and PowerPoint) is essential Fluent in English All applications should be submitted on or before the 25th August 2026.
