Job Title: Safety Administrative Coordinator Job Summary:  Responsible for providing administrative training, reporting, and operational support to the Corporate Safety Department. This position plays an important role in maintaining accurate safety and training records, coordinating safety-related programs and activities, supporting reporting requirements, and promoting consistency across the department.  The overall goal of the Safety Administrative Coordinator is to be highly organized, detail-oriented, comfortable working with technology and data, and able to manage multiple priorities in a fast-paced construction environment. This position reports to the Corporate Safety Director and works closely with Safety team members, Human Resources, Operations, and employees throughout the organization. Essential Duties and Responsibilities: The Safety Administrative Coordinator will include the following:  * Maintain accurate employee safety training records, certifications, and related documentation. * Enter, update, and audit training information within the Company's learning management and/or safety systems. * Assist employees and managers with training access, completion, and technical issues. * Coordinate and assist with scheduling safety training sessions, meetings, orientations, and other safety-related programs. * Track required training and certifications and identify upcoming expirations, incomplete training, or other compliance gaps. * Prepare training rosters, materials, reports, and other documentation as needed. * Assist with communicating training requirements, deadlines, and program updates to employees and managers. * Other related duties Education, Experience, and Licensing/Certifications: * High school diploma or equivalent required; associate or bachelor’s degree preferred. * 2–4 years of administrative, coordinator, training, compliance, safety, construction, or related experience preferred. * Construction industry or safety department experience is a plus but not required Preferred Qualifications: * Experience supporting a multi-location organization is preferred. * Construction industry or safety department experience preferred. * Experience with safety training or learning management systems. * Experience maintaining employee training or certification records. * Experience preparing or auditing reports and operational data. * Familiarity with MVR administration or fleet/driver compliance. * Familiarity with asset tracking and distribution. * Experience working within the construction industry or another safety-sensitive environment.  Knowledge, Skills and Abilities Required Include: * High level of maturity and judgment; ability to be discreet and maintain confidentiality of information. * Excellent skills in organization, time management, planning, and prioritization. * Strong analytical skills. * Effective communication skills (written and verbal) and presentation skills. * Professional demeanor and effective interpersonal skills; ability to provide a high level of customer service and successfully interface with and maintain good working relationships with employees at all levels of the organization as well as external parties; ability to foster collaborative relationships. * Skilled at active listening techniques. Gathers appropriate information before taking action and encourages others to listen and check before acting.  Communications are tactful, diplomatic, and influential. * Strong organizational skills and exceptional attention to detail. * Ability to adapt quickly to changing priorities, shifting deadlines, and evolving business needs in a fast-paced environment. * Strong proficiency with computers and software, to include Microsoft Office, particularly Excel, Word, PowerPoint, Outlook, and Teams. * Working knowledge of artificial intelligence (AI) tools and an ability to use AI appropriately to improve efficiency, reporting, document preparation, research, data organization, and other administrative processes. * Ability to effectively handle stress and stressful situations. * Resourceful, proactive, and able to identify opportunities to improve processes, consistency, and efficiency.
